A few years ago, a colleague of mine started working with Power BI and stated that I must start learning Power BI as it was going to replace Excel.
Naturally this set off alarm bells in me, and I went on an accelerated learning curve. His words were “whatever you can do in Excel , you can do better in Power BI.”
My journey to Power BI began and what a wonderful tool it is.
Power BI has the ability to:
- Connect to data from various sources (databases, Excel files, online services, etc.).
- Build data modeling with relationships, hierarchies, and the ease of DAX formulas.
- Build interactive dashboards and reports with drill-down capabilities.
- Customize your visualizations.
- ETL (extract, transform and load) your data using Power Query.
- Support for large datasets and real-time data streaming.
- Sharing and collaborating with others.
Power BI’s enhanced DAX functionality allowed me to significantly improve my data analysis, much better than Excel, and avoid the complex formulations required by Excel.
Excel and Power BI are both powerful tools developed by Microsoft, but they serve different purposes and have distinct features.
Excel
Excel is a spreadsheet program primarily used for data entry, calculations, analysis, and visualization.
Benefits
- Grid-based canvas for data entry and manipulation.
- Formulas and functions for calculations and data processing.
- Flexible charts and graphs for data visualization.
- Pivot tables for summarizing and analyzing data.
- AI tools (What-If analysis and forecasting).
- Limited data modeling capabilities.
- Limited support for large data sets and complex data transformations.
- Generally used for smaller-scale data analysis and reporting.
- Excel is everywhere, there are approximately 700 million users – from finance to operations to HR.
Limitations
- Excel can become slow with large data sets.
- Limited in interactive visualizations.
- Manual updates often required for reports.
Power BI
Power BI is a business intelligence tool used for data analysis, modeling, and interactive visualizations.
Benefits
– Integration with other Microsoft tools like Excel, SharePoint, and Azure services.
– Connect, transform and analyze millions of rows of data
– Build relational models to blend data from multiple sources
– Define complex calculations using their Data Analysis Expressions formulas
– Visualize data with powerful interactive reports and dashboards.
– Generally used for enterprise-level data analysis, decision-making, and reporting.
Limitations
- Limited spreadsheet functionality
- Steeper learning curve for Power BI advanced features.
- Licenses needed to share and collaborate.
In summary
Excel is more focused on spreadsheet-based calculations, while Power BI is designed for advanced data analysis, modelling, and creating interactive dashboards and reports with larger datasets.
Power BI is often used in business environments for complex data analytics and visualization tasks.
In conclusion, it is my belief that Power BI will NOT replace Excel, but with rather compliment it.
